Hello everyone in the Facebook community, and hello everyone that is joining us live for our webinar. Thank you all for joining us. We are still deep in reporting and accountability month this August. And thank you all for joining too, ’cause it’s actually my birthday, so what a fun way to celebrate with Daniel Posten of Interface, and all of you in the community and in the webinar.
For anyone who doesn’t know Daniel, I’d love for you to introduce yourself. Tell us who you are, what you do, and where you, where you’re at. Awesome. Yeah. So, so grateful to be able to, have this party with you on your birthday. My name’s Daniel, CEO of Interface. We help the best real estate teams in the world automate and analyze their sales process in Follow Up Boss.
This month is perfect, ’cause we’re actually launching our analytics platform in the next couple of weeks. So this is g- kind of a sneak peek, but it is available in beta. And our automated agent accountability we’ve had for quite some time.
We have a lot of teams on it, so very excited to share both of those for you. Perfect. All right. And every- everyone wants to… I wanna make sure the chat’s working, so if you have any questions as Daniel is taking us through this, feel free to add them to the chat. We’ll get those answered live. So let’s go ahead and get started, and show us, let’s start digging into what you’re gonna show us today.

All right. Can you guys see my screen? Yes. All right. So we have a few different pieces of our platform. So we have automation. I’m sure you guys are familiar with Zapier. Yes. So Zapier, if you’re, if you’re not, Zapier’s the biggest automation platform in the world, or at least the most famous. We built something very similar, but specifically for Follow Up Boss.
And so really the primary benefit is we just have a lot of automation triggers that don’t exist in Follow Up Boss, so it really expands what’s possible, within Follow Up Boss. Then we have a form builder, so this is kinda like Google Forms or JotForm, but built specifically for Follow Up Boss. So we actually have an embedded app in each Follow Up Boss lead record where the forms live.
So instead of the team having to go outside to fill out the forms, and re-enter all the data that’s already in Follow Up Boss, they just enter the data right from within the lead record. And we’re in the process of launching our analytics platform, which has conversion ratios and, eventually is gonna have lead source ROI reports and an AI goal-setting forecasting, system.
So we’re gonna start off with the automation builder So like I said, the primary Benefit of this is we have a lot of automation triggers that don’t exist in Follow Up Boss, which really expands what’s possible. So what we’ve built so far is we can trigger automation if a person is created, person is updated, so this is if a specific field on the lead record is updated, with
A lot of teams use tags for triggering automation, but what’ll end up happening is you get five different tags that look all the same, and you don’t know which tag to use for triggering the automation. So this allows you to create a f- a custom field, and when that’s updated to yes or whatever you wanna put in those options, it’ll trigger the automation.
Person deleted, tags created, stage updated. If a note is created or updated, email created, task created or updated, so this allows you to trigger automation if a task is completed. So you could do when a, one task is completed, create additional tasks in your transaction process or you’d have a task for ordering photos, and when that’s completed, you could send a notification to the client letting them know, “Hey, your photos have been ordered.”
Appointment created or updated, text message created, call created or updated, deal created or updated, so this is if a specific field on the deal is updated, and then event created or, like, property inquiries or saved searches on your website. And so what we can build with this is virtually unlimited, but our, one of our most popular use cases is we can automate agent accountability.
So I’m sure a lot of teams out there that are watching have a weekly list where as their agents call through, the lead drops off, and then when it’s time to call again a week later, the lead shows back up. And so, you know, those lists are great, but doesn’t matter how great those lists are, if your agents aren’t doing the follow-up, it really doesn’t matter.
And so what we can do with the automation platform is we can use our call triggers and our email triggers and our text triggers to trigger automation to create a countdown to where on that weekly list, now if it’s day 10, we can nudge the agent if they still haven’t done the follow-up saying, “Hey, you’re supposed to follow up with this lead.
Please do the follow-up.” And then if they still haven’t followed up on day 12 or day 15 or whatever you wanna set it at, you could actually pull the lead and move it into a pond automatically for other agents to have access to.
And so this constantly puts the agent under the gun to either do the follow-up or potentially lose the lead. And, no agent wants to get assigned a lead, not do the follow-up, have it reassigned to a pond, have another agent call, and then have that other agent close the deal. And so just the threat of that happening motivates them to do the follow-up But sometimes an agent just gets three listings in a row one week, and now they’re just slammed with work, and they have new leads coming in, and they just don’t have time to do the follow-up.
And now you can just pull those leads automatically, move them into a pond so other agents can pick up the slack. And the best part is, nobody has to be the bad guy on the team anymore. It’s just a set of rules. This is the rules of r- of engagement. You can filter lead sources out. You can filter agents out, so if there’s certain agents that just handle their business and you don’t wanna take leads away from them, you can filter agents out.
But you have a set of rules for different lead sources, and they either follow them or they lose the lead. And what frustrates agents is when you have a person doing this, they don’t do it consistently, and it’s time-consuming and expensive. And so if you have somebody who sometimes pulls the lead if they haven’t followed up after 12 days, but then sometimes doesn’t, that’s when agents on the team start getting frustrated.
Yeah. And so, And you’re also taking the pressure off of the team lead or the admin or who’s ever s- you know, it- it’s now the system that’s doing it. Like, “Hey, I didn’t do it. It’s the system.” Exactly. Like, you gotta do what you’re supposed to do. Yeah. Exactly. I’m not the bad guy. Let the automation be the bad guy.
Exactly. Okay. And so that’s how the, how the automation works. Again, you can build virtually anything with our automation. It can really expand the, what can be automated, but that’s probably our most popular use case for what teams are using this for. Okay, so now I’m gonna go back in here. I’m gonna quickly show the forms because it ties into analytics.
So this is what we’ve been working on for a really long time, and it’s why our analytics are really gonna be the only platform that allows agents to stay in Follow Up Boss, but also produce accurate reporting. So here is a seller listing form that a lot of teams use, where this would get filled out if you get a new listing.
So you can… It’s a drag and drop interface. You could add whatever fields you want just by dragging the fields over. But typically, you’re gonna collect, like, the address, the price, your commission percent, the, you know, if there’s a referral fee, your dates. And if you notice the asterisk, these are required fields.
And so this is what allows our reporting to be accurate because a lot of the different reports are gonna need conversion ratios. We need to know the dates of when each thing happened. And now if I go into Follow Up Boss- When I go to the, go to a deal, you know, this has all the relevant info, but there’s no way of requiring any of these fields in Follow Up Boss.
And so if you’re connecting another analytics platform, typically these other platforms are connecting to the deal. Well, if they’re connecting to the deal and there’s no way of requiring that the acceptance date was added or the, if you create a custom field for sign date, then those dates aren’t there.
And if those dates aren’t there, then your reports aren’t accurate. And so what we’ve done to make sure that we can keep agents in Follow Up Boss and get the data correct is we have this embedded app right here. And so if an agent were to get a new listing, they would come here, go to the listing form and fill it out right here.
And this allows you to collect all the info you need to make sure your reports are accurate. We’re connected to Google Lookup, so it’ll pull in different
Dates or, I mean, different addresses, so you don’t have to write all that info out. If you need the commission percent for your commission data to be accurate, you can require that. We’re gonna require the dates, expiration date, agreement signed date
We have conditional logic. So I s– if I say yes, the secondary, there’s a secondary contact, those fields will appear, which can create a relationship. If I say no, then those fields disappear. You load documents. What we’re working on right now is an AI system for extracting the data from documents. So instead of having to fill all that data out, w- you’ll just load the document, and then it’ll pull the data from the document and pre-populate it into the form.
So that should be available very soon. Probably in the next thirty days. I’m gonna submit. And so now we’ll get a note with everything that was entered on the form, and then a deal will get created here in a second with the address. You can create templates for the name of the deal-
pulling data from the form entry to standardize the… You know, if you have ten different agents, then typically you have ten different deal name formats- Mm-hmm … which, you know, makes the TC pull her hair out. A- ’cause y- they gotta go in and m-m-make it the way that they wanna see it. So they’re renaming all these deals.
It updates the stage. We can map any of the data from the forms to custom fields or to the deal fields. And then the data’s gonna get pushed into our analytics platform. So, n- now I’m gonna go back into interface. And so Our opportunity list, this gets compiled directly from all the form entries.
So this acts like a spreadsheet. You can filter it however you want. You can group by. So if you wanna see how many transactions each agent has, you can drag this up here, and it’ll group by so you can see the different transactions for each agent. We even have a pivot mode. So if I come over here and turn pivot mode on, now it’s gonna sum up the price.
We’re working on calculated columns, so you can do a commission amount, a agent commission, a, referral fee, and then have a calculated column which will subtract the agent commission and the referral fee from the total commission and give you like a net profitability by agent. Or if you group by source, you can get net profitability by source.
And then any report you create here, you can go up and save the view and then refer back to it. So a lot of teams out there are manually creating spreadsheets with all this data and manually entering it all. With our form system, when your agent fills out the form, it just populates here, and you can have the, the same reports you’re creating on the spreadsheet, but, the data is getting updated automatically.
And then what you see here, anything that’s in white is read-only. Anything that’s in the gray is editable, and anything that’s in blue is mapped back to Follow Up Boss. And so you can make updates here in the opportunity name and that’ll update the deal name, for example. So- Daniel, is this, available to agents on the mobile device as well in Follow Up Boss?
What we are working on is putting our embedded app in custom fields. So we do have links over here. So these are typically client-facing links, so you’d have– you could have, like, an all about you form. Mm-hmm. But what we are working on, and then this would get sent out to the client for them to fill out.
But what we are working on is putting our entire embedded app into a link on custom fields. And so, if they’re working from the mobile, they’ll be able to click on the link, and it’ll open the entire embedded app, and then they could select, you know, the tile or create a new opportunity. The other way it is available in the mobile app is, when an appointment is set, we send a text out to the assigned agent after the appointment that- Mm-hmm
has the form that they need to fill out to say what happened on the outcome. And so they could fill out the appointment outcome form, and if they got a listing on that, then we would redirect to the listing form. And so they do have the ability to access it from their mobile phone that way, but- Perfect
Not entirely, because we’re just sending forms rather than the, the entire embedded app. But that is, coming soon. Okay. And so then we also have data tables for all the different data in Follow Up Boss. So leads, tasks, events. So events are super important because events can kind of disappear in Follow Up Boss.
Let’s say you have a lead come in from Zillow, and then, you know, six months later, that same email address comes in from realtor.com. There’s no currently– currently, there’s no way in Follow Up Boss to create a report showing here are all the different realtor.com leads that came in this month, because if some of those leads already existed, it’s just not gonna appear because those will have Zillow as their…
or whatever their original lead source is. And so what this, marketing event table allows you to do is every time a marketing event comes into Follow Up Boss, it’ll create a row here with a timestamp of when it happened. And so now if you wanna see what are all the different marketing events from realtor.com for August 2026, you can filter by the inquiry timestamp and filter by the event source and- Then you can see exactly how many realtor.com events came through for the month.
We also allow you to use tags. So if there are certain tags that are representative of marketing events, like a Ylopo hand raiser tag, you can send that in as well. And so this also helps when a deal closes. So let’s say a deal closed, you can group by the lead name and go to whatever lead closed, and now you can see all the marketing events for that specific lead that just had a closed deal.
Because, you know, sometimes you have a lead come in a year later It comes in from another source, and now you get an appointment. Mm-hmm. And so really, that other lead source is what created the deal, but the original lead source is what’s showing. And so when- you’re trying to figure out what lead sources are actually generating deals for me, being able to see the entire history and not have to pick through it in Follow Up Boss makes it super easy.
And the other- w- we’re actually gonna be building a, an AI system for this that’ll go through and read, when did the, you know, when did the deal get created, what was the lead source that came in before that, and just create a report for you. Or you just click a button and now it tells you this was the original lead source, this was the lead source that happened right before the deal created, and you don’t have to spend manual time going through and figuring that out.
I love that. That’s a really big ask from so many teams, to be able to see that history. So yeah, that’s, that’s pretty awesome. Yeah. Yeah. Yeah. This one, this is the most requested report- Mm … that we’ve gotten also. And this just, we just added this a few weeks ago, so it’s, it’s available now. So appointments, emails, calls, texts, notes, at bats.
So at bats is every time a lead gets reassigned. So that’s another thing you can’t really see well in Follow Up Boss. Once a lead goes from an agent to a pond- Yeah … and back to another agent, the fact- Mm … that it was in that pond or the other agent had it is just kind of lost. And so this allows you to, see exactly the, the path that the lead took.
And so this sequence number, number one is the originally assigned agent. Number three, this means it’s been reassigned twice. And so you can do the same thing. You can go and group by the lead to see the path it took. And then we have timestamp, you know, when was the lead created, but then the assignment timestamp.
So this is every time it was reassigned. So it, you know, it just allows you to see how many opportunities an agent actually had that month. Mm-hmm. Because they may have been assigned 20 leads, but now it’s showing that they only had 10 for this month because, you know, 10 others got reassigned because they weren’t doing what they were supposed to.
Now you can actually see how many opportunity, how many leads each agent had for the month, that even if it got reassigned to somebody else, you still have a timestamp record of it. Mm-hmm. And we’re gonna be working on conversion ratios for this as well. So we have conversion ratios for appointments set through close, which I’ll show in a minute, but we’re gonna have conversion ratios for every time, from lead to closed, based on every time they had an opportunity at, at a lead.
So that’ll really show you exactly how well each agent is producing when they get a opportunity at a lead. And then we have a speed to lead report. So this shows how quickly leads are being, you know, first activity, by assigned agent. So this tracks call, text, or email. We also have first call by assigned agent.
First call, started timestamp. First text by assigned agent. So it’s tracking the first activity by the assigned agent, but it’s also tracking first total activity, because you may have a collaborator that does the first activity. And so this allows you to, regardless of who did the first activity, you can see how quickly leads are being, followed up with.
And then you can do the same thing. You can drag up… Let’s say I wanna see how well my agents are f- doing with first activity. I group by the agent. Now I can turn the pivot mode on, and now I can see what is my average speed to first activity, or what’s my average speed to first call? So your activity is gonna be Call, text, or email And your calling is happening through Follow Up Boss?
Yeah. Right? So these are all activities logged in Follow Up Boss. Okay. And so we can see what’s my average speed to first. So I can filter by all the leads that came in in August. Mm-hmm. And then I can group by the assigned agent and turn on pivot mode, and now I can see what’s the average for, you know, average to f- first activity in August.
Who, which agents are struggling with that, which agents are doing well. And We can also do that for any different activity type. So if you’re really, if what matters to you is calls, you do average speed to first call. And we also have hours. So let’s say you don’t, you know, f- from 9:00 PM to 9:00 AM, you don’t want that counting against them.
So anything that comes in from 9:00 PM to 9:00 AM, and you could, you could set this however you want, it’s, it’s not gonna count until, you know, if a call doesn’t happen until 9:05 AM that came in at midnight, that’s gonna count as five minutes, not nine hours and five minutes or whatever it is. Okay. Well, you’re setting the parameters that you want for the, for the team.
Yeah, exactly. In terms of, like, what are the calling hours or what are the activity hours so they don’t … I- if a lead gets assigned to them in the middle of the night, it’s not gonna count against them in the average to first activity. That makes sense. That’s good. Yeah, exactly. And another cue to making sure that agents are using the dialer, ’cause if they’re not- Yes
using the dialer, this is … You can’t track what you- Yeah … well, it’s not happening inside the system, so another- Yeah, and, when I originally started building a lot of this, I was on the top selling team in San Diego at the time, and our rule was, if it’s not logged in Follow Up Boss, it didn’t happen. So- Yeah.
That’s good … okay. So those are the underlying data tables, and now we have template reports built off that. And so this is one of the other things that kind of separates us is we have all the raw data, and when we’re showing different reports, when you click on those reports, you can actually drill down and see the underlying calls or the underlying, transactions.
And so this is the team overview, appointment set, met, signed, pending, closed by month. This is the pending versus closed report. So anything in gray is, what happened this year, red is pending, and the lines are previous years. This is a lead source report. This is year over year- data. So this is appointments set year over year.
So the red is this year, and then we don’t have a– We just have dummy data in here, so it doesn’t have, If we had five years of data, it would show a line for twenty twenty-two and twenty twenty-three and twenty twenty-four, and then the bar graphs are your current year, so you can see how you’re doing versus previous years.
And then it has a month-by-month report down here. So this is the team dashboard, and then if I wanna see, you know, okay, February twenty-sixth, it says twenty-five met appointments. I can click on this twenty-five and go in and see the actual twenty-five transactions and make sure it’s correct. So now if I see there’s a duplicate in here or a test, I can go in and delete it and get the reports accurate This is a great user interface too.
It’s so user-friendly. Yeah. It’s… It, it looks great. So then we have the agent scorecard, which is pretty much the exact same thing we just saw, but for each individual agent Then we have the digital whiteboard. So this shows you signed, active listings, pending, and closed. And we’re gonna have another one which will show all of them, which w- is what a typical whiteboard would show.
So you can see listing, listed, pending, and closed all in one screen. And then you can display this stuff in your office. So we’re gonna have a, an option for creating, selecting which of these different reports you want to rotate, and then it’ll just rotate from one to the next, and you can have that up in a big display in your office, and it’ll be optimized for, a screen like that.
And then what most teams want is conversion ratios. So these are time series conversion ratios, where whatever your filter is, it’s gonna filter by appointment set, and then it’s gonna show exactly what this cohort of, set appointments turned into. And if you’re not tracking from appointment set, you can come up here.
If I wanna track from, you know, signed, I can just do this, and then it’ll filter by this and show you what these turned into And then we have a time delta. So the time delta is what’s the average amount of time it took to get from appointment set to met, or met to signed, or signed to pending. And then down here, we have each in- individual agent’s data, so you can compare it with the team as a whole
So that’s the conversion ratios. Then we have leaderboards. So right now we just have closed leaderboards. We’re gonna be adding in all the different activity types, and then we’re also gonna have challenges where you can actually set different point amounts for each different… So a call can be one point, an appointment could be five points, a listing could be 10 points, and it’ll all combine up into one master leaderboard.
And you can slice and dice it however you want. I love that. Friendly competition. Yeah, exactly. Works every time. And then activities, I think we just added this. Yeah, so this essentially is the, kind of like the dashboard we saw before, but for activity. So calls, text, emails, year over year, and by month
And that’s literally the first time I saw that, so we all got to see it, together for the first time. That’s amazing. This is great. Does anyone have any questions on anything that we talked about so Daniel can get those answered for us live? And while we’re waiting for anyone to possibly put a question in here, Daniel, talk to me about the setup process with this for someone who may not have Interface right now, who may be watching and thinking, “I need a transaction management tool.
This is something that looks right up my alley,” but maybe they’re not technically inclined. So talk to me about what this setup looks like. Yeah. So we’ve set it up to where it, it can be a self-serve platform, and you can go in and set up all the stuff on your own, but most teams just have us do it. Mm-hmm.
So depending on what we’re getting set, what we’re setting you up on, automated agent accountability, for example, we typically do a kickoff call where we get access to your Follow Up Boss account and discuss which lead sources are relevant, which agents need to be included, and then we do the setup.
We set up a weekly call. We do the setup the first week, then we typically wanna test for a week, and then we wanna get the whole team up and running week three. So automated agent accountability is usually a two to three-week process. Forms, the form system usually takes a little bit longer. We usually have the forms up and running the first week, but then it’s a more incremental, okay, add this field, one week, and then the next week, we wanna trigger this automation from this form.
And so usually it’s an incremental process. It takes anywhere between three to six weeks on average. Sometimes if you’re– have really long forms, it could take longer than that. But it’s usually… Teams are usually up and running within that first three to four weeks, but we’re just incrementally improving the system over time.
Got it. Uh, and the analytics, you know, we just have a couple teams up and running. It literally just went into beta recently, over the next, or, or over the last two, three weeks. So what we do is backfill your data. So we pull all the Follow Up Boss, you know, your past calls, texts, emails into the system.
We need to get you up and running on forms. We’ll import your past deals in so you can get your transaction data. And really, it’s pretty much the same setup process as the forms, but we’re just pulling in your data as well. Got it. So- and the next thing we’re launching, is our goals. We wanna have that ready by Q4 so people can do their 2027 planning.
And with that, what we’re gonna do with that is we’re gonna set it up with Claude and- Mm … feed all of your data into Claude, so you can say, “Here’s what my goal is,” and Claude can figure out, all right, based on how many calls, texts, emails it takes you to get a, an appointment- this is how many calls, texts, emails you need to do, and this is how many appointments you need to set.
And what’s really awesome, a- a- and this is different than any other platform, other platforms they’ll show like, “Here are your total conversations, and here are how many appointments you had from that.” But what they don’t have is, well, 20 or 30% of those conversations went to people who are in pending or already listed.
And so those conversations aren’t actually creating appointments because they’re talking to existing clients. And since we’re pulling in the raw data with the call… W- when we pull a call in, we also pull in the source, we pull in the stage of the call at the time of the call. And so now you can see these are all the calls that are in stages that you’re trying to set appointments for.
And so here are all the conversations for those leads, and based on those conversations, you need to have those types of calls, this many calls to get to this many appointments, and this many appointments to get to this many listings. And, and AI will be able to piece all that together and give you a much more granular forecast on what’s needed.
And then you’ll be able to update that as the year goes on. So now it’s February, you’re 10% under your goal. It’ll say, “Okay, you need to up your output by this much to be able to hit those goals.” I love that. That’s so important. I think knowing like that, “This is my goal. This is what I need to sit down and do so that I can get to my goal,” gives everyone just such a better radar on, “I’m gonna sit down, I’m gonna make X amount of calls, and even if, they don’t work out, I know I’m getting closer to what I need to get to, ’cause that’s what the data shows me,” right?
And, whatever analytics platform you’re using, you wanna make sure that platform has that underlying data. Because if the platform you’re using just increments the number of dials for that agent for that day and doesn’t have the timestamp and the duration of the call and the stage that the lead was in at the time of the call, you can’t use AI to, to utilize all the, those data points to, to give you accurate forecasting Yeah, absolutely.

You know, a question did populate in the community. I was looking through some stuff this morning, and someone was in the Facebook community and said, “I basically am so overwhelmed with integrations, and I don’t know what I don’t know.”
And I’m asking you as one of our integration partners, for someone who’s watching or is in the community later and stumbles upon this and they’re looking for transaction management, it is overwhelming, especially if you don’t know all of the different integrations that work. So I would ask you, what is your, like, 30 to 60 second pitch for someone who’s like, “I need transaction management,” and how your company could actually help them?
So what’s awesome about our platform is, one, it helps with transaction management in Follow Up Boss, but we also integrate with the, I would say the two best transaction management platforms out there right now are Open To Close, and there’s a new one that just came out called Rebillion. Mm-hmm. And, those platforms both kind of require you to go into their platform to enter that data, but our platform allows you to enter the data from within the lead record, and we can send the data into those platforms.
And so whether you’re trying to do transaction management at a higher level in Follow Up Boss, one of the things that we can do the teams really love is for the task list, we could actually put the address of the property in every task. And so it’s challenging in Follow Up Boss to- Organize your tasks based off of transactions, but if you have the address in each task, it makes it a lot easier.
So we can turn Follow Up Boss into more of a transaction management system, but we also can help you get that data from Follow Up Boss into the best transaction management platforms out there. And so either way, if you’re trying to do transaction management in Follow Up Boss, or you have TCs that wanna use these actual transaction management platforms, but you want your agent to stay in Follow Up Boss so they’re not…
It’s challenging enough to get your agents to do stuff in Follow Up Boss. If they have to go somewhere else, you know, that’s, that’s a tough sell. And so we allow your agents to stay in Follow Up Boss and get the data wherever it needs to go. Amazing. Yeah. Making, making FUB your source of truth for your agents is a game changer.
Yeah … this is where you have to live, this is where you can do all of your, all of your stuff right here. You don’t have to go in all these other places. Yeah, and- So that, that’s really helpful. Yeah, and we’re the only platform out there that really does that. Yeah. That, that’s a big plus. All right.
